How do I create a recurring appointment?

It regularly happens that the same kind of appointment repeats itself over several, days, weeks or months. Within Outlook and Google calendar, you then use a repeating appointment. This functionality is now also available in the Tribe calendar. The repeating appointments from Tribe are automatically synchronised to your Outlook calendar or your Google Calendar. You can also create repeating appointments directly in your external calendar, these will automatically sync to Tribe CRM.

1. How do I create a recurring appointment in Tribe CRM?

Please note! The following applies to all activations before September 2nd 2022. It is necessary to reactivate an already activated link to also retrieve the existing repeating appointments from the calendar.

  1. Create an appointment in Tribe as you are used to, for example via the calendar widget on your workspace.
  2. Enter the correct data.
  3. Activate the slider is recurring.
  4. Select the type of repetition, daily, weekly, monthly or yearly.
  5. Enter follow-up fields depending on the type of repetition, such as end date or number of repetitions.
  6. Save the repeating appointment.

 

Recurring appointments – Tribe CRM

Daily: use this option to schedule an appointment every day or every x-number of days. The end occurs after x-number of repetitions, a specific date or there is no end.

Weekly: you use this option to create a meeting that is organised every x-number of weeks on a specific day or days When, for example, you create an appointment that takes place biweekly on Mondays. The end takes place after a number of repeats, a specific date or there is no end.

Monthly: you use this option to create an appointment to be held on a specific date every month or every x number of months. Such as ‘every month on the 15th of every 2 months’. You can also select options such as the first Wednesday of every month or the last Monday of every three months. The end of the repeat takes place after x-number of repeats, a specific date or there is no end.

Yearly: you use this option to schedule an appointment that takes place every year on a specific day (e.g. a birthday) or on a specific day of a month, e.g. the third Tuesday of September. The end of the repeat takes place after x-number of repeats, a specific date or there is no end.

Note: In Tribe CRM, it is only possible to repeat an appointment, this is not possible for a task.

2. How do I create a recurring appointment in an external calendar?

When you create a recurring appointment in Outlook or Google, it is automatically scheduled in your Tribe calendar. The link with Google ensures that it is visible in Tribe almost immediately. With Microsoft Exchange, it can take up to several minutes for appointments to be visible in Tribe CRM.

3. Some ground rules around recurring appointments.

There are some ‘ground rules’ to consider while creating/changing recurring appointments in Tribe CRM or the external calendar. These ground rules may differ depending on whether you use Outlook or Google. The reason for this lies in the connection platform offered by both.

Therefore, keep in mind the points below:

  1. It is not allowed to drag the first appointment in a repeat after the follow-up appointments in Tribe.
  2. It is not allowed to drag an interim or final appointment before the first appointment in Tribe.
  3. It is not possible in Tribe to delete an interim repeating appointment. Deletion should be done via Google or Outlook, this will also delete the appointment in Tribe.
  4. If you work with Outlook then it is possible to change an interim appointment in Tribe by dragging and dropping in the calendar to a different date or time. If you work with Google Calendar then an interim appointment must be modified in Google, within Tribe a notification will be given if the user will still attempt this action.
